Privacy Notice for Initial Enquiries

About Services Provided by King James Almshouse at Gateshead and Miscellaneous Enquiries

This statement is given in accordance with the General Data Protection Regulation and it describes how we will use and protect the information you provide to King James Almshouse at Gateshead in relation to your enquiry to the organisation.

  • The data controller is the King James Almshouses a charitable company.
  • The charity does not employ a data protection officer.
  • Your data will only be used for the purposes of dealing with your enquiry. 
  • The King James Almshouses has a legitimate interest in processing your data in order to ensure that it deals with enquiries in an effective manner.
  • The information we hold about you may include:
    • Name, address and contact details
    • The nature of the enquiry 
    • Information that you give us about yourself 
    • The source of the data we hold about you is from yourself as a result of your enquiry. 
  • The recipients of your data will be relevant staff within the King James Almshouse and, exceptionally, other agencies and organisations where there is an overriding public interest or legal reason to share your data.
  • We will keep your data for as long as it takes to deal with your enquiry and then destroy it. 
  • Each person upon whom we hold information has the rights contained in this notice.
  • There are no transfers of your data outside the United Kingdom.
  • There is no automated decision making in relation to your enquiry to us. 
  • Your information may also be visible to professional services employed by the King James Almshouse such as our auditors or our information technology support services.

King James Almshouses

Terms of occupancy

Licence to Occupy (Letter of appointment)

You will have a copy of the Licence to Occupy which you signed when you were appointed as a resident. As a beneficiary of an almshouse charity you are not a tenant, the Trustees cannot ask you to leave unless there are exceptional circumstances, such as: when you cease to be a beneficiary of the Charity or you do not comply with the terms of your Licence to Occupy.

Relatives and visitors

The warden cannot take the place of your relatives and friends. We hope they will continue to support you as they would if you had remained in your own home.

Consulting Residents

The Trustees hold a meeting four times a year (the warden will let you know the dates for these) to discuss the running of the Almhouses with you and your neighbours.

You can talk to a trustee in private by asking the Warden to the trustees to arrange this.

Residents cannot, under charity law, become trustees and therefore do not take part in decision making, but the trustees welcome your views on matters affecting the quality of life in the Almshouse.

Moving out

If you wish to vacate the almshouse you must give the Trustees at least 4 weeks notice in writing. During this notice period you will be liable for the weekly maintenance payments. Residents or their personal representatives are responsible for clearing the premises of personal possessions and returning the keys.

Gifts and Legacies

It is the policy of the trustees that no one involved in the running of the charity should accept any gift or legacy from a resident. If you wish to donate anything to the charity please contact the Master to the trustees. All such matters will be dealt with in confidence.
